Part-time Studio Coordinator (West End, Brisbane)
2 - 3 part time days a week
We are a small architecture studio with 5 architects and looking for a studio manager to support us. Tim (the owner) has a list of things he would like a non-architect to manage to free the team up to do more architecture and balance our team. It is part time and flexible with hours in a nice studio in a great neighbourhood (Boundary Street, West End). The role would suit a professional taking a career pause, perhaps you are parenting/caring and keen to keep your toe in with some meaty and simple tasks. As part of our collaborative team, you would report to Tim and work with everyone in your role.

The role
This is our shopping list of items the architects would like support with, we will shape a role from this list to suit your skill set. Let us know if your strengths and gaps in the list below in your cover letter.
Project support – administration support to the architects including fee proposals, presentations, reports and minutes. The architects tend to do most of the project related correspondence but this role will support the early stages on fees, marketing documents and studio profiles.
Office administration - management of day-to-day activities of staff supported when in the office
Maintaining studio systems – office manual, folder structure, filing system, policies and procedures
Weekly pay run – time sheet coordination and liaise with Tim/bookkeeper (account background not required)
People management – the occasional recruitment (one per year approximately), coordination of staff review calendar and goals for each member, help us set up a system and run it with us.
Studio calendar – coordinate our calendar of regular meetings, strategic retreats, coordinate and manage one-off events, these events may include celebrations at our client’s projects for key moments in the house build. The events are simple affairs, generally room hire and some basic food or catering.
Photography - coordinating the photographer and stylist on our project shoots a few times a year.
Managing the studio - answering the phone (all staff do this currently and would also help), stationery, staples for office including tea, coffee etc, occasional dishes (this is shared by all)
Client liaison – the architects generally manage the client liaison, you may help on occasion with carpark coordination (letting them know where to come and being ready for arrival, offering refreshment), simple tidy and readiness for client meetings.
Marketing – basic social media, organising and collating content about projects (photography and copy) liaising with our external marketing team, preparation for awards submission or publications. Our architects can support you with the information and you will bring everything together.
Social media content generation – this is not essential but if you have a tendency we welcome basic photos of behind the scenes and curation of Instagram and posting etc.
Anything else that comes up, we tend to shape roles to suit our team members skills and align them to gaps in what needs to be done. By nature this role will be a gap filler when the architects are busy on project work – so ideally you like variety and don’t mind a range from buying milk to strategic documents.
You know how to use
Word, excel, we use slack, a general ability to learn and use software.
